Supply chains across various industries generate hundreds of certifications to ensure safety, quality, and regulatory compliance.

When companies engage vendors for services or products, they must confirm the vendor’s compliance through validated certificates, verifying authenticity, expiration, and other critical details. Long-term partnerships further necessitate secure storage and ongoing monitoring of these certifications.

Typically, stored in fragmented formats across multiple systems, these certifications often require manual verification and updating. This approach leads to administrative overload, procurement delays, risks of expired or counterfeit certifications, and potential penalties or reputational damage.

Incert sought to transform these fragmented and labor-intensive certification processes into a unified digital ecosystem. The new system needed to:

  • Automate the complete lifecycle of certifications – from issuance and renewal to revocation – with proactive notifications of critical events
  • Provide procurement departments and quality assurance managers with real-time transparency of compliance across the supply chain
  • Minimize manual tasks and human errors through integration with existing IT systems and centralized cloud-based storage

The overarching goal was to create a secure, scalable digital service that accelerates decision-making, reduces regulatory risks, and strengthens trust among brands, suppliers, and end-users.

For Incert, OmniMind was deployed specifically to automate the extraction of critical certificate details from uploaded PDFs. By accurately identifying and extracting fields like certificate numbers and validity dates, OmniMind drastically reduced manual input requirements, minimized errors, and significantly streamlined the certification approval workflow, thus greatly enhancing user experience and the overall efficiency and accuracy of the platform.
